Automating Romanian medical certifications with Odoo

A Romanian clinic bound by legal document formats

The clinic performs the medical and psychological evaluations that Romanian law requires before a person can hold a driving permit or a transport safety role. The clinic covers permit categories that include auto/boat/weapon and security agent work. It also certifies transport safety functions across road/rail/naval and air. Each evaluation ends in an official document whose format is fixed by regulation.

Why manual preparation slowed the clinic and risked compliance

• Manual document preparation. Staff assembled each certificate and each psychological certificate by hand so every case consumed time and any formatting slip could invalidate a legally regulated record.

• Hand-kept numbering and pricing. Registration numbers and tariffs were tracked manually so records drifted out of sequence and prices were applied unevenly across similar services.

• Fragmented operations. Candidate records / doctor assignments / scheduling and invoicing lived in separate tools so the clinic had no single view of its activity.

What Redbee built to automate regulated certification

Redbee implemented Odoo as the single platform for the clinic and built the regulated parts as custom modules in Odoo Studio with Python. The goal was to eliminate manual document work / standardize every certificate to its legal format / assign each case to its examining doctor and price it automatically. The examiner selects the person and the permit or transport function then generates the official PDF in one step. Standard Odoo modules handle the surrounding operations and connect to the custom core.

• Custom Medical Records module. It registers the evaluated person / captures the structured data required by law / assigns the examining doctor and permit type and generates the standardized medical certificate and psychological certificate as PDFs.

• Custom Transport Safety Records module. It evaluates personnel for road / rail / naval and air functions / supports selecting several safety functions at once and generates the standardized certificate and psychological certificate with cost and history tracking.

• Configurable tariff engine. Prices are set per service category and per case type so the correct tariff applies to each certificate without technical intervention.

• Standard Odoo modules configured. Contacts / Employees / Project / Timesheets / CRM / Sales and Invoicing were set up and interconnected so operations flow across the clinic.

• Dedicated A to Z training. Redbee trained the team on every application so staff run the platform independently.
