How a driving school and vehicle-inspection station unified business ops in Odoo
A business running a driving school, an ITP vehicle-inspection station, and its own fleet was tracking student progress and inspection deadlines by hand, so renewals were caught late and client records sat in disconnected places. One system replacing scattered records: enrollment, contacts, invoicing, fleet, and technical inspections now run inside a single Odoo instance rather than separate spreadsheets and manual lists.
A custom module Odoo doesn't ship: the ITP inspection station was built from scratch in Odoo Studio, capturing owner, vehicle, inspection date, expiry date, vehicle type, and VIN per record, with the required inspection interval driven automatically by vehicle category.
Automated deadline enforcement: the system sends an SMS 7 days before an ITP expires, removing the manual check that used to sit between a deadline and a missed renewal. The same expiry-automation pattern covers fleet documents (RCA, CASCO, road tax, ITP) and instructor insurance.
Challenge
Client background and market position
The client runs three connected lines of business under one roof: a driving school that enrolls and trains students, an ITP station that performs mandatory periodic vehicle inspections, and a small fleet of instructor-assigned cars. Each line produced its own records, deadlines, and clients, and the business had no single place to see them together.
Operational and technical bottlenecks
Student progress was tracked informally, so the business had no clear view of where each student sat in the enrollment-to-exam pipeline, and follow-up relied on someone remembering.
ITP expiry dates were checked by hand, which meant one missed check could become a missed legal renewal on a client's vehicle.
Fleet compliance documents (RCA, CASCO, road tax, ITP) and instructor insurance each expired on separate schedules with no automated warning, leaving the business exposed to lapsed cover and lapsed inspections.
Contacts, documents, and student files sat in disconnected locations, so assembling a full picture of one client meant checking several places.
Solution
The build centered on one principle: give the business a single source of truth and let the system, not a person, watch every deadline. Rather than bolt automation onto disconnected tools, the work started by mapping how enrollment, invoicing, fleet, and inspections actually flow through the business, then rebuilding those flows inside one Odoo instance. The driving school's operations mapped cleanly onto standard Odoo modules, but the ITP station did not, so that piece was purpose-built in Odoo Studio around the exact data a station records. From there, the automation layer handled the highest-risk gap first: the expiry dates that a missed manual check could turn into a lapsed inspection or lapsed insurance.

Model the full student journey in CRM as a visible pipeline (interested, enrolled, testing, coursework, exams) so progress is trackable at a glance.
Build a custom ITP module, which standard Odoo has no equivalent for, structured around what a station actually records: owner, vehicle, VIN, inspection and expiry dates, and vehicle-type-driven validity.
Eliminate manual deadline tracking by automating SMS reminders 7 days ahead of every ITP and compliance expiry.
The Outcome
The shift is operational: work that used to depend on staff attention now runs on its own. Nobody watches a calendar of expiry dates anymore, because the system raises each one seven days out, so a lapse gets flagged while there is still time to act rather than discovered after a client's inspection or cover has already run out. That single change takes the most consequential failure point off a person's memory and puts it on a rule.
Day to day, questions that once meant checking several places now have one answer. Where a given student sits in the enrollment journey, which vehicles have documents coming due, what a client's full history looks like: each is a single lookup instead of a reconstruction. The business plans around what the system shows rather than around what someone last remembered to check.
The build also leaves room to grow. Because every function writes to the same record set, later automation (invoicing triggered off enrollment stage, document generation, management reporting) can be layered on without reworking the foundation.
